Guidelines for Oral and Poster Presentations
Abstract Submission
The Abstract submission and the extended editing deadline have passed.
Communications must be delivered in English. There is no simultaneous translation.
It is not permitted to take photographs and/or film during any of the sessions.
Receipt of Abstract
Abstracts can only be submitted online and MUST be submitted BEFORE 1 APRIL 2020 18:00hrs CEST. THIS DEADLINE WILL BE STRICTLY ENFORCED, as will be the regulations given below. The EASD office will notify the presenting (= first named) author when the abstracts with the status "complete" are forwarded for anonymous review.
Submission of Abstracts
The following is a brief overview of the abstract submission process. Please read carefully the DETAILED ABSTRACT SUBMISSION GUIDELINES before you begin the abstract submission process.
It is not permitted to submit work that has been published and/or is likely to be published before the EASD Abstract submission deadline (1 April 2020, 18:00hrs. CEST). The Programme Committee has the right to remove an abstract if this contains data that has already been published. However, EASD accepts the submission of abstracts that have been presented in recent months at local or national diabetes meetings (e.g. ADA, DDG). An author submitting or presenting work that has been published in a journal before the EASD Abstract submission deadline (1 April 2020, 18:00hrs CEST) will be banned from presenting data at the EASD Meetings for three years.
Abstracts submitted on Human Studies:
The box must be marked stating that the study has been reviewed by the Local Ethics Committee and that it has therefore been performed in accordance with the ethical standards laid down in the Helsinki Declaration (see World Medical Association: www.wma.net).
Abstracts submitted on Animal Studies:
The box must be marked stating that the study has been carried out along the “Principles of laboratory animal care” (NIH Publication no. 85-23, revised 1985) and according to the national law, if applicable.
Selection of abstracts for the Scientific Programme is made anonymously. THE ABSTRACT MUST BE SUBMITTED as follows:
Each author can be listed ONLY ONCE as the PRESENTING author (presenting author is always the first named author in the author block) on ONE (1) abstract. Each additional abstract will be removed from the system and will not be forwarded to the Review Committee. Additional abstracts will not be reviewed. Presenting authors may be co-authors of other abstracts. It is mandatory that the presenting author of any abstract accepted for presentation attends the 56th EASD Annual Meeting 2020 to present his / her paper. Failure to do so, without prior or adequate explanation sent to the EASD Office by e-mail, may result in the author or the institution being banned from presenting abstracts for the next three years.
Abstracts are welcome from non-members of EASD. Please refer to the Registration section of this General Information, regarding the date by which authors must become members of EASD in order to qualify for preferential registration fees. These regulations will be strictly enforced.
The abstract must be submitted in English. New authors should create an account using a login name and a password. With this information they can revise the submission as often as required, make changes, additions, amendments, change/add/delete authors, copy special characters easily into the text, re-write the abstract or copy and paste the text in the corresponding boxes. All this is possible until the Abstract Submission Deadline: 1 April 2020 18:00hrs CEST. After this date the submission site will be closed.
IMPORTANT!: Always double check that the “complete” status of your submitted abstract has NOT been affected after having edited it.
CHANGES TO THE CONTENT AND/OR THE AUTHOR BLOCK OF THE SUBMITTED ABSTRACT WILL NOT BE ACCEPTED after the submission deadline.

Programme Committee
Preference for oral or poster presentation is not possible. The Programme Committee allocates the accepted abstracts to either an oral or a poster session. The Programme Committee Members will meet in May 2020 and have the absolute right to accept or reject abstracts. Their decision is final. Only accepted abstracts will be published in the Abstract Volume. The Programme Committee’s decision will be communicated via email in the last week of May 2020 ONLY to the presenting (= first named) author’s contact e-mail entered in the online abstract submission tool.
Poster Presentation
Poster presentations rank equally with oral presentations at EASD Meetings. Posters must be on display throughout the whole duration of the Meeting.
All posters are presented at special, formal Poster Discussion Sessions which will be held from Tuesday to Thursday from 12:00 - 14:15. These sessions offer an excellent opportunity for direct scientific exchange. During the Poster Presentation Sessions, the presenting author must be present or make arrangements for somebody with knowledge of the displayed work to be present at the poster. An average of 3 - 5 minutes will allow for each author to present his/her poster, followed by open discussion of 3 - 5 minutes (depending on the number of abstracts in the poster session). Detailed instructions will be sent to the presenting author on notification of acceptance (ONLY to the presenting (= first named) author’s contact e-mail entered in the online abstract submission tool) online abstract submission tool).

EASD will make posters available via its Virtual Meeting.
Oral Presentations
PowerPoint presentation will be available for Oral Presentations. Instructions on presentation will be sent to the presenting authors on notification of acceptance (ONLY to the presenting (= first named) author’s contact e-mail entered in the online abstract submission tool). Only single projection is provided.

Oral Presentations during the EASD Annual Meeting will also be made available as webcasts via the EASD Virtual Meeting.
Publication of Abstracts
Abstracts accepted for presentation will be published on the Association’s website www.easd.org from 1 July 2020.
Certificates/CME
Your certificates will be available to download via your MyEASD account from 28 September 2020 onwards until one day before the beginning of next year`s Annual Meeting.
The virtual EASD Annual Meeting 2020 has been accredited by the European Accreditation Council for Continuing Medical Education (EACCME®) to provide Continuing Medical Education for a maximum of 26 European CME credits (ECMEC®s).
Kindly note, that only the sessions within the scope of the EASD Scientific Programme are considered for EACCME® Accreditation.
In addition, only sessions watched between 22 September 2020 08:40 hrs CEST and 25 September 2020 13:45 hrs CEST are considered for EACCME® Accreditation.

Please read the following information carefully before starting the registration process.
Individual registrations for the virtual 56th EASD Annual Meeting, 21 – 25 September 2020 have to be made by means of the secured online registration system. For further details on the legal regulations, please refer to the "Terms & Conditions" document that you are required to accept during the registration process.
Registration Fees
EASD does not accept "blank" registrations. EASD does not charge VAT.
All references to a date or a deadline, mentioned in this and other conference documents, refer to the Central European Summer Time Zone (CEST).
Children under the age of 18 will not be permitted to enter.
All rates are indicated in Euro. The term "Paid-up EASD Member" refers to a person who is recorded at the EASD Office as a paid-up member before starting the registration process and the membership has to be valid during the virtual EASD Annual Meeting.
Methods of Payment
Payments can only be made in Euro.
Payment should preferably be made by credit card (Visa, Mastercard or American Express). When paying by bank transfer, bank charges are the sender's responsibility. The family name and the invoice number of the delegate must be used as reference. Bank transfer payments are only possible before 31 August 2020.
Cheques are not accepted.
Name Changes / Cancellations
All registrations are personal, in the name of the initial booking, and as such not transferable. Cancellation of registrations are non-refundable. This also applies if the wrong fee has been selected.
Credit will not be given for unattended events or early termination of the attendee’s participation.

Registration confirmations will be emailed once payment has been received. This registration confirmation document will provide the delegate with the login requirements to access the virtual EASD Annual Meeting.

Group Registration
The Group Registration is now closed.
Group Registration for the virtual 56th EASD Annual Meeting, 21 - 25 September 2020 applies to groups with 15 or more delegates. If your group has a smaller number of delegates kindly register your delegates via the individual online registration tool.
You must create / log-in to your own MyEASD profile, which will be used for all future correspondence. Your group registration account will remain open until 14 September 2020.

Invoices and Payment
Unless otherwise requested, invoices will be issued on a weekly basis and emailed to the account holder.
Once an invoice has been issued, any details e.g. the address cannot be changed.
Payment is possible by bank transfer or credit card (MasterCard / Visa / American Express).
Invoices are due on date of issue and payable within 14 days of the invoice date. Bank transfer payments will be accepted until 31 August 2020. Invoices issued after 31 August 2020 must be paid immediately by credit card. All final payments must be received before 14 September 2020.

Press Registration
The Press Registration is now closed.
Press Registration to the 56th Annual Meeting of the European Association for the Study of Diabetes is free of charge for all approved press/media representatives.
The press registration system will be open until Wednesday, 23 September 2020, 23:59 CEST. It is recommeded to register prior to the start of the virtual EASD Annual Meeting on 21 September 2020. Processing press registrations during 21 - 23 September 2020 may take up to 24 hours.
Press Registrations for the virtual EASD Annual Meeting have to be made by means of the secured online registration system. For further details on the legal regulations, please refer to the "Terms & Conditions" document that you are required to accept during the registration process.
Press Registration
Journalists/media representatives are required to upload either their press credentials (press ID card, no business card) or a letter of assignment from the editorial office of their news organisation during the online registration.
Please note: Public relations personnel and industry exhibitors cannot register as press.
EASD reserves the right to deny press registration to anybody it considers not to meet these criteria.
The entire scientific programme and all areas of the virtual EASD Annual Meeting platform are open to registered journalists.
Embargo Policies
All abstracts presented at the EASD Annual Meeting are embargoed until the date and time of their presentation in the scientific programme. For Oral Presentations, the embargo is lifted at the beginning of the presentation; for Poster Presentations, the embargo is lifted at 11:59 CET on Tuesday, 22 September 2020. All press releases distributed by EASD will clearly state the respective embargo time and date that may differ from the above stated embargo policy for abstracts.
Reproduction of images, graphs and other visual representations
Data presented during the meeting is strictly copyrighted and use of imagery or visual representations of data, audio and video recording is strictly prohibited. You may only use images, graphs and other visual representations of data from the presentations with the explicit permission of the abstract author/presenter.
EASD does not obtain approval for those wishing to reproduce images of graphs/data in their reporting. Failure to get permission and provide evidence of this, and failure to provide accurate accreditation, will result in a breach of copyright.
Recording, Filming and Screenshots
Recording, filming and taking screenshots is only allowed during virtual press conferences. Recording, filming and taking screenshots of other areas of the virtual Annual Meeting is subject to prior written approval from the EASD Press Centre staff. To record, film or to take screenshots of a presenter during his/her presentation, prior written approval from the presenter is required for permission to be granted by EASD. EASD does not obtain approval for those wishing to film, record or taking screenshots of a presenter.
Recording, filming and taking screenshots of the virtual Industry Exhibition is strictly forbidden.
Social Media
The official hashtag of the virtual EASD Annual Meeting 2020 is #EASD2020. Please use it in all tweets or posts related to the 56th EASD Annual Meeting. Please refer to the Social Media section for more information.
Online Press Centre
Journalists registered to the EASD Annual Meeting can access the EASD 2020 online Press Centre with the login information from their press registration account. The online press Centre provides materials such as the press conference schedule, press statements from invited speakers, abstracts and speaker bios. Press releases will be distributed to registered press delegates throughout the meeting.
Third parties may distribute press releases or press kits in the online Press Centre, materials must be send to press@easd.org. Third party press releases must clearly display the embargo date and time of the presentation at the EASD Annual Meeting, the company issuing the release assumes responsibility for ensuring embargoed releases are only distributed to reporters who will abide by the EASD’s embargo policies.
Press Conferences
EASD will organize a series of press briefings throughout the Annual Meeting. A detailed schedule will be available for registered press delegates closer to the date.
Third party press conferences are permitted however, they cannot be held at the same time as an EASD press conference. Third parties wishing to conduct a press conference should first contact Mr. Oliver Heinke (o.heinke@interplan.de) or Ms. Lisanne Leonhardt (l.leonhardt@interplan.de) at our PCO Interplan for technical options and requirements.
The EASD press office will distribute invitations for third party press conferences to press/media registered to the virtual EASD Annual Meeting 2020 and add it to the press conference schedule in the EASD online Press Centre.

However, EASD and its agents reserve the right to alter or cancel, without prior notice, any of the arrangements, timetables, plans or other items relating directly or indirectly to the Meeting, for any case beyond their reasonable control.
EASD and the Local Conference Organisers are not liable for any other loss or inconvenience caused as a result of such changes.
Modification of the Programme
The organiser will make all efforts to adhere to the programme advertised. However, the organiser and its agents reserve the right to alter, replace or cancel, without prior notice, any of the speakers or arrangements announced, provided that the overall character of the event remains unaffected. The organiser will inform the attendees to that effect immediately by publishing details of the modification on the website. If those modifications are caused by any factor outside of the reasonable control and the responsibility of the organiser (e.g. a speaker is suddenly prevented from attending, any unforeseeable disruption at the venue), the organiser will not be liable for any loss or inconvenience caused as a result of such modifications.
Cancellation of the Annual Meeting
The organiser reserves the right to withdraw from the contract in whole or in part and to cancel the Annual Meeting if the performance of the same is impossible due to force majeure or other unforeseen incidents outside its responsibility including, without limitation, strike, lock-out, natural disasters, terrorism, riots, war, disorder, and acts of public authorities. The organiser will inform the attendees to that effect immediately.
In this case, the organiser cannot be held liable by the attendee for any damages, costs, or losses incurred, such as transportation, accommodation, costs for additional orders, financial losses, etc. caused by the slight negligence of the organiser, its legal representatives or vicarious agents. Apart from that, the limitation of liability remains unaffected.
Under these circumstances, the organiser will refund the registration fee but reserves the right to deduct any costs from the registration fee which have already been incurred for the organisation of the Annual Meeting and which cannot be recovered from third parties.
Limitation of Liability
The organiser is liable without restriction for any damage arising from loss of life, personal injury or illness caused by the organiser, its legal representatives or vicarious agents.
In the event of any other damage caused by the organiser, its legal representatives or vicarious agents, liability is limited to intentionally or grossly negligent conduct.
The above does not apply to claims relating to breaches of fundamental contract obligations. Fundamental contract obligations are those the performance of which is essential to the contract and on which the attendee may rely. In the event of a breach of fundamental contract obligations caused by the slight negligence of the organiser, its legal representatives or vicarious agents, the organiser’s liability for all damage is limited to the foreseeable damages typical of the contract.
Data Protection and Sharing of Contact Details
The EASD office will collect and store all personal data for the preparation and execution of the EASD Annual Meeting in accordance with our privacy policy.
Applicable Law and Jurisdiction
German law applies. The application of the United Nations Convention on Contracts for the International Sale of Goods (CISG) is excluded. The court is Düsseldorf, Germany. This does not affect (i) the right of consumers to assert claims in a court with jurisdiction in their state of habitual residence or (ii) mandatory rules applicable in such state.
