Abstract Submission

The deadline for abstract submission has passed. No further editing to submitted abstracts possible.

The EASD Abstract Submission System available via MyEASD will close on the deadline 1 April at 23:59hrs CEST, regardless of the stage that submitters are with their abstract steps’ completion. If an already started abstract submission (still in progress/ being worked on) is not completed within the deadline: 1 April 2019, 23:59hrs CEST, the system will close and the abstract submission will be automatically truncated and thus incomplete (i.e. won’t be forwarded for review).

Communications must be delivered in English. There is no simultaneous translation.

It is not permitted to take photographs and/or film during any of the sessions.

Receipt of Abstract

Abstracts can only be submitted online and MUST be submitted BEFORE 1 APRIL 2019 23:59 hrs CEST. THIS DEADLINE WILL BE STRICTLY ENFORCED, as will be the regulations given below. The EASD office will notify the presenting (= first named) author when the abstracts with the status "complete" are forwarded for anonymous review.

Submission of Abstracts

The following is a brief overview of the abstract submission process. Please read carefully the DETAILED ABSTRACT SUBMISSION GUIDELINES before you begin the abstract submission process.

It is not permitted to submit work that has been published and/or is likely to be published before the EASD Abstract submission deadline (1 April 2019, 23:59 hrs. CEST). The Programme Committee has the right to remove an abstract if this contains data that has already been published. However, EASD accepts the submission of abstracts that have been presented in recent months at local or national diabetes meetings (e.g. ADA, DDG). An author submitting or presenting work that has been published in a journal before the EASD Abstract submission deadline (1 April 2019, 23:59hrs CEST) will be banned from presenting data at the EASD Meetings for three years.

Abstracts submitted on Human Studies:

The box must be marked stating that the study has been reviewed by the Local Ethics Committee and that it has therefore been performed in accordance with the ethical standards laid down in the Helsinki Declaration (see World Medical Association: www.wma.net).

Abstracts submitted on Animal Studies:

The box must be marked stating that the study has been carried out along the “Principles of laboratory animal care” (NIH Publication no. 85-23, revised 1985) and according to the national law, if applicable.

Selection of abstracts for the Scientific Programme is made anonymously. THE ABSTRACT MUST BE SUBMITTED as follows:

Each author can be listed ONLY ONCE as the PRESENTING author (presenting author is always the first named author in the author block) on ONE (1) abstract. Each additional abstract will be removed from the system and will not be forwarded to the Review Committee. Additional abstracts will not be reviewed. Presenting authors may be co-authors of other abstracts. It is mandatory that the presenting author of any abstract accepted for presentation attends the 55th EASD Annual Meeting 2019 to present his / her paper. Failure to do so, without prior or adequate explanation sent to the EASD Office by e-mail, may result in the author or the institution being banned from presenting abstracts for the next three years.

Abstracts are welcome from non-members of EASD. Please refer to the Registration section of this General Information, regarding the date by which authors must become members of EASD in order to qualify for preferential registration fees. These regulations will be strictly enforced.

The abstract must be submitted in English. New authors should create an account using a login name and a password. With this information they can revise the submission as often as required, make changes, additions, amendments, change/add/delete authors, copy special characters easily into the text, re-write the abstract or copy and paste the text in the corresponding boxes. All this is possible until the Abstract Submission Deadline: 1 April 2019 23:59 hrs CEST. After this date the submission site will be closed. IMPORTANT!: Always double check that the “complete” status of your submitted abstract has NOT been affected after having edited it.

CHANGES TO THE CONTENT AND/OR THE AUTHOR BLOCK OF THE SUBMITTED ABSTRACT WILL NOT BE ACCEPTED after the submission deadline.

Your abstract submission must adhere the following structure:

• The maximum number of characters is 3,200 (excl. spaces) including the title and the author block. The title should be short (maximum 150 characters).
• Please enter your name and the names of co-authors as given in the example below. Start each name with a capital letter and continue in lower case, do not enter names/affiliations all in capital letters.

• The abstract must be structured. Enter each section into the corresponding text field with the provided sub-headings in bold (Background and aims:, Materials and methods:, Results: and Conclusion:). The abstract structuring words are fixed for each abstract text box. One or two sentences should describe the methods, and any aspects of methodology (e.g. use of control groups, randomisation, patient selection, assay variation). The sentences stating the results must include hard data, including statistical analysis.
• It is allowed to include only one table OR one graph to your abstract, but 400 characters will be deducted from the maximum number of characters allowed. Tables must be uploaded as an image; so you must create your table and convert it into an image in order to include it in your abstract. You can edit your table or graph and then replace it, or delete it until the submission deadline of 1 April 2019, 23:59 hrs CEST. Do not enter both (a table and a graph) in the same image file; also, do not create and upload multi panel images. When creating a table, do not to exceed a number of 10 columns and 12 rows with a maximum of 3 lines per row! 
• References are not allowed.
• For drugs exclusively generic names should be used (no trademarks).
• A list of approved abbreviations and units of expression for use without definition appears in DIABETOLOGIA.
• Grant/Support information must be entered into its designated field.
• Where applicable, the Clinical Trial Registration Number must be entered into its designated field; not in the abstract body.
• Only one keyword can be selected.
• Abstracts CANNOT be submitted as an e-mail attachment.
• A signed copy of the final version of the abstract must be sent ONLY per e-mail as PDF file attachment to: by 9 April 2019, 23:59 hrs CEST.

Programme Committee

Preference for oral or poster presentation is not possible. The Programme Committee allocates the accepted abstracts to either an oral or a poster session. The Programme Committee Members will meet end of May 2019 and have the absolute right to accept or reject abstracts. Their decision is final. Only accepted abstracts will be published in the Abstract Volume. The Programme Committee’s decision will be communicated via email in the first week of June 2019 ONLY to the presenting (= first named) author’s contact e-mail entered in the online abstract submission tool.

Poster Presentation

Poster presentations rank equally with oral presentations at EASD Meetings. Posters must be on display throughout the whole duration of the Meeting and should be already mounted in the morning of the first day and removed at the end of the EASD Meeting. The Posters must be accessible for study at any time during the hours of the Annual Meeting.

All posters are presented at special, formal Poster Discussion Sessions which will be held from Tuesday to Thursday from 12:00 - 14:15. These sessions offer an excellent opportunity for direct scientific exchange. During the Poster Presentation Sessions, the presenting author must be present or make arrangements for somebody with knowledge of the displayed work to be present at the poster. An average of 3 - 5 minutes will allow for each author to present his/her poster, followed by open discussion of 3 - 5 minutes (depending on the number of abstracts in the poster session). Participants can collect a headset on a first come first served basis to follow the presentations within the corresponding sessions. Reprints of the poster (e.g. sheets of DIN A4 format) should be made available (no booklets). Detailed instructions will be sent to the presenting author on notification of acceptance (ONLY to the presenting (= first named) author’s contact e-mail entered in the online abstract submission tool) online abstract submission tool).

Third-party Poster Tours / Sessions are STRICTLY FORBIDDEN.

In addition to the printed poster presentation, EASD will also make posters available via its Virtual Meeting. For the EASD Virtual Meeting you can also record an e-poster video presentation (onsite and by appointment only) or an audio commentary to accompany your poster presentation.

Oral Presentations

PowerPoint presentation will be available for Oral Presentations. Instructions on presentation will be sent to the presenting authors on notification of acceptance (ONLY to the presenting (= first named) author’s contact e-mail entered in the online abstract submission tool). Only single projection is provided.

Oral Presentations during the EASD Annual Meeting will also be made available as webcasts via the EASD Virtual Meeting.

Publication of Abstracts

Abstracts accepted for presentation will be published on the Association’s website www.easd.org from 1 July 2019.

Individual Registration

Please read the following information carefully before starting the registration process

Individual registrations have to be made by means of the secured online registration system. For further details on the legal regulations, please refer to the "Terms & Conditions" document that you are required to accept during the registration process.

Registration Fees

EASD does not accept "blank" registrations.

All references to a date or a deadline, mentioned in this and other conference documents, refer to the Central European Time Zone (CET).

Children under the age of 18 will not be permitted to enter.

All rates are indicated in Euro. The term "Paid-up Member" refers to a person who is recorded at the EASD Office as a paid-up member before 1 July 2019 and the membership has to be valid during the Annual Meeting. EASD does not charge VAT.

Methods of Payment

Payments can only be made in Euro.

Payment should preferably be made by credit card (Visa, Mastercard or American Express). When paying by bank transfer, bank charges are the sender's responsibility. The family name and the invoice number of the delegate must be used as reference. Bank transfer payments are only possible before 26 August 2019.

Cheques are not accepted.

Name Change

Name changes are not possible.

Cancellation Policy

Cancellation must be sent in writing to .

Refund of registration fees will be as follows:

• Received until 9 September 2019: EASD will charge Euro 50 per cancellation.
• No refund on cancellations received after 9 September 2019 or onsite.

Credit will not be given for unattended events or early termination of the delegate's attendance.

Name Badge Replacement Onsite

The congress name badge must be worn at all times during the EASD Annual Meeting. Access to the congress centre will not be granted without the official name badge. Euro 50 will be charged to re-print your name badge onsite. The original badge will be made invalid.

Collection of Congress Material

As soon as EASD has received full payment of the registration fee, you will receive a confirmation email with a Barcode Voucher attached (PDF document). The barcode enables you to print out your name badge onsite and to collect your congress material.

Registration in the EASD office will close on 9 September 2019. Registrations after this date must be made onsite in Barcelona, Spain at the "NEW Registration" counters in the Registration Hall.

Group Registration

Welcome to the Group Registration Tool for the 55th EASD Annual Meeting to be held in Barcelona, Spain from 16-20 September 2019. Please note that Group Registration applies to groups with 15 or more delegates. If your group has a smaller number of delegates kindly register your delegates via the individual online registration tool.

For further details on the legal regulations please refer to the "Terms & Conditions" document that you are required to accept during the group registration process.

Registration Fees

EASD does not accept "blank" registrations.

Invoices and Payment

Until 10 July 2019 you can enter your account and add / delete as many delegates as required. Due to this new, easy-to-use system your first invoice will be e-mailed to you after the early deadline of 10 July 2019. After this date, further invoices will be sent to you on a daily basis for new registrations / name changes and the late registration fee will apply. After the early registration deadline the names in your account are “fixed”. You can still view these names in your account but any changes must be e-mailed to your group contact. Once an invoice has been issued, any details e.g. the address cannot be changed. In addition, Euro 50 is charged to amend/cancel an incorrect registration fee selected by the client. Registration fee amendments can only be processed until 26 August 2019.

Payment is possible by bank transfer or credit card (MasterCard / Visa / American Express) and must be recorded on our account within 14 days after the date of issue on the invoice. Acknowledgment of your payment will be sent per e-mail. All issued invoices must be paid in full before the start of the Annual Meeting.

Cheques are not accepted.

Registration after 10 July 2019

Late registrations can still be entered into your account and this is possible until 26 August 2019. After this date any further registrations must be handled onsite in Barcelona. EASD does not accept "blank" registrations.

Name Change - from 11 July 2019 & Onsite

For changing the name of an early registration after 10 July 2019, the difference between the early and the late fee is charged (always considering the EASD membership status).

Cancellation Policy

Refund of registration fees will be as follows:

• Received between 11 July and 26 August 2019: EASD will charge Euro 50 per cancelled registration.
• No refund on cancellations received after 26 August 2019 or onsite.

Credit will not be given for unattended events or early termination of the delegate's attendance.

Onsite Registrations / Collection of Congress Material

EASD will arrange a pick-up appointment with your company enabling you / your representative to collect all of the documents for your group (name badge, lanyard and congress material). New registrations and name changes must be processed during this appointment and must be paid directly.

Letter of Invitation

An official invitation can be requested via the online registration tool. Please note that this procedure aims to assist delegates who need to obtain a visa or permission to attend the meeting and is not an official invitation covering fees or any other expenses. It does not imply any financial support from the Meeting organisers.

Please note that we have an agreement with the Spanish Ministry of Foreign Affairs to issue a "Letter of Invitation" only for registered delegates who have paid their registration fee in full.

If your visa application has been declined – for whatever reason – the congress organisers cannot be held liable for any incurred expenses, such as registration fees, accommodation, travel, financial losses, etc.

Please check with your local embassy what documents are needed to apply for a visa.

Press

Press Registration to the 55th Annual Meeting of the European Association for the Study of Diabetes is free of charge for all approved press/media representatives.

Before registering, please read carefully the EASD Media Guidelines and the EASD Social Media Guidelines. All registered journalists and media representatives are expected to be compliant with both guidelines. Failure to do so will result in loss of Press Delegate privileges and a ban on attending future EASD meetings.

Press Registration

Journalists/media representatives are required to upload either their press credentials (press ID card, no business card) or a letter of assignment from the editorial office of their news organization during the online registration. Pre-registered journalists can pick up their Pres Delegate badges onsite at the Press Registration counters in the Registration Area. For onsite registration, media representatives are similarly requested to come to the Press Registration counters.

Please note: Public relations personnel and industry exhibitors cannot register as press.

EASD reserves the right to deny press registration to anybody it considers not to meet these criteria.

The entire scientific programme during the Annual Meeting is open to registered journalists, Press Delegate badges must be worn at all times.

Online registration is closed. Please register onsite at the Press Registration counter.

Embargo Policies

All abstracts presented at the EASD Annual Meeting are embargoed until the date and time of their presentation in the scientific programme. For Oral Presentations, the embargo is lifted at the beginning of the presentation; for Poster Presentations, the embargo is lifted at 11:59 CET on Tuesday, 17 September 2019. All press releases distributed by EASD will clearly state the respective embargo time and date that may differ from the above stated embargo policy for abstracts.

Press Centre

EASD will be providing a fully equipped Press Centre with workstations, printers, WiFi/LAN. Access is granted to those wearing a (grey) Press Delegate badge only. Embargoed press releases and other information material will be available.

Third parties may distribute press releases or press kits in the Press Centre. Press materials must be delivered onsite to the Press Centre staff, materials delivered to the EASD office in Düsseldorf will not be transported to the Annual Meeting location. Third party press releases must clearly display the embargo date and time of the presentation at the Annual Meeting, the company issuing the release assumes responsibility for ensuring embargoed releases are only distributed to reporters who will abide by the EASD’s embargo policies.

Travel Grants

A limited number of Travel Grants will be available to presenting authors of accepted abstracts. Applications may be made by any paid-up member of EASD not yet holding a title or academic degree (students) or from scientists conducting research after completion of the doctoral studies (postdocs/fellows).

The deadline for Travel Grant Applications is Monday, 1 July 2019, 23:59 (CET).

EASD and the Local Conference Organisers are not liable for any other loss or inconvenience caused as a result of such changes.

Limitation of Liability

The organiser is liable without restriction for any damage arising from loss of life, personal injury or illness caused by the organiser, its legal representatives or vicarious agents.

In the event of any other damage caused by the organiser, its legal representatives or vicarious agents, liability is limited to intentionally or grossly negligent conduct.

The above does not apply to claims relating to breaches of fundamental contract obligations. Fundamental contract obligations are those the performance of which is essential to the contract and on which the attendee may rely. In the event of a breach of fundamental contract obligations caused by the slight negligence of the organiser, its legal representatives or vicarious agents, the organiser’s liability for all damage is limited to the foreseeable damages typical of the contract.

Applicable Law and Jurisdiction

German law applies. The application of the United Nations Convention on Contracts for the International Sale of Goods (CISG) is excluded. The court is Düsseldorf, Germany. This does not affect (i) the right of consumers to assert claims in a court with jurisdiction in their state of habitual residence or (ii) mandatory rules applicable in such state.
